Location: Apples Medical Centre
Hours: 19.5 hours per week

Apples Medical Centre is a dynamic and patient-focused practice committed to delivering high-quality primary care services. We are seeking a dedicated and organised Practice Administrator to join our team and support the smooth running of our practice.
Main Duties and Responsibilities:
This list is fluid and may evolve over time to meet the needs of the practice.
- Support the Practice Manager (PM) in ensuring the effective and efficient management of the practice.
- Assist the PM in ensuring compliance with all current legislation and regulations governing the delivery of primary care services.
- Book-keeping: Inputting of purchase invoices, producing sales invoices (e.g., Leweston, YTFC, Flu, Medical/Insurance invoices).
- Assist in the recruitment of practice employees; DBS checks, setting up Windows/email accounts, applying for Smartcard and access to SystmOne, liaise with line managers for inductions and training.
- Maintain team policies on TeamNet (overview of all existing policies) including nurses' policies (under guidance of lead nurse).
- Monitor and liaise with managers for employees' training on TeamNet.
- Maintain/review practice website.
- Maintain and add to weekly socials with health campaigns and notices from the practice.
- Action/monitor monthly premises checks (e.g., meter readings, cleaning audits).
- Action infection control audits (under guidance of lead nurse).
- PPG administrator.
- Nurses’ admin (e.g., non-clinical policies as instructed by Lead Nurse).
- Manage nurses’ rota.
- Action private documentation (e.g., medicals/insurance).
- Assist with seasonal health campaigns/clinic prep (e.g., Flu, Covid, RSV).
- Prepare meeting team links for the monthly Frailty MDT and Safeguarding MDT.
- Conduct ad hoc HR audits as requested (e.g., DBS annual Dec, workstation, annual Dec).
- Order monthly stationery.
- Assist with preparing for CQC Assessment.
- Monitor/prepare equipment/PAT testing annually.
Qualifications and Skills:
- Strong organisational and administrative skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Proficiency in IT systems and software, including Microsoft Office.
- Experience in a healthcare setting is desirable but not essential.
